Starting an event

This guide walks you through creating and configuring a new event in Ruloo, from initial setup to enabling player-facing features and syncing live results.

Step 1: Create your event

  1. 1Go to Ruloo.app.
  2. 2Log in, or create a new account if you don't have one yet.
  3. 3Click + New event.

Step 2: Enter event details

Fill in the following fields to configure your event:

  • Name: the public name of your event.
  • Type: Standard, League Challenge or League Cup.
  • Format: the game format for the event.
  • Date: the day the event takes place.
  • Round 1: when the first round begins.
  • Tournament ID: the same ID you use in TOM (Tournament Operations Manager), so records stay in sync.

Step 3: Turn on player features

Ruloo offers three optional player features. Turn on whichever fit your event. Preregistration is under Sign-up in Event settings. Player-reported results and deck lists are under During the event.

Results and deck lists are under During the event. Preregistration is under Sign-up. Each switch can be changed at any time from Event settings.

Preregistration

Lets players submit their name, Player ID, and deck list (if that feature is active) before you import your roster. Share a registration link or QR code ahead of the event to collect submissions in advance.

Deck list submissions (beta)

Allows players to submit their deck lists online. This feature works alongside preregistration, so players can submit their lists days in advance. Online submission stays open only until you click Verify in TOM. After that, the window closes.

Player-submitted results

Players can self-report match results, but these submissions cannot be used for Championship Points (CP) events. For any CP-sanctioned event, you must use TOM's official match slips instead.

Step 4: Import your roster

Click Connect TOM to bring your player list into Ruloo. You'll be given two options:

Option A: Live Sync (recommended)

Opens a separate window where you point Ruloo at the .tdf file you want it to monitor. Once set, Ruloo automatically updates your roster within about 1 minute of TOM auto-saving, with no manual re-uploads needed. See the Connect TOM guide for the full steps.

Tip: Go to File > Edit Profile in TOM and lower the auto-save interval to 1 minute. This ensures Live Sync reflects your changes as fast as possible.

Option B: Drag and drop

Manually drag your .tdf file from TOM into Ruloo. This updates your roster each time you drop in a new file. Updates are manual, so you'll need to re-upload whenever your TOM file changes.

Once your roster is imported, your event is fully set up.

The event QR code

Ruloo generates a QR code that dynamically changes what it displays depending on your event's current stage. Open it from Share with players in the event's menu and put it somewhere players can scan it.

One QR code for the whole event. What players see changes on its own as the event moves along.

Phase 1: Before Verify (sign-ups)

Before the event passes the Verify stage in TOM, the QR code shows who's currently signed up.

What players see before Verify: the sign-up list.

If you're using Live Sync while entering players into TOM on the New Tournament: Step 2 screen, hit Save in TOM to push new entries and populate the roster in real time.

This TOM screen doesn't auto-save. Click Save after adding players so Live Sync picks them up.

Phase 2: Round pairings

After you click Verify and start the event, the QR code switches to showing round pairings.

Ruloo often displays Round 1 pairings before TOM does. As you pair each subsequent round in TOM, the Event Update QR code automatically refreshes to show the new pairings.

During rounds: pairings, with the player's own table at the top once they've entered their Player ID.

Phase 3: Standings

Once the event wraps up, click Finish event. The QR code then switches over to display final standings for 10 minutes. After that, to protect players' privacy, the page shows each player only their own result (once they've entered their Player ID). You and your judges still see full standings inside Ruloo.

After Finish event: final standings, shown for 10 minutes.
