Terms of Service

Last updated: October 6, 2026

These Terms of Service ("Terms") govern your use of Ruloo, a tournament management platform for Play! Pokemon and Pokemon Trading Card Game events, operated by Ruloo, a Georgia sole proprietorship ("Ruloo," "we," "us"). By creating an account, registering for an event, or otherwise using Ruloo, you agree to these Terms. If you're using Ruloo on behalf of a store or organization, you're confirming you have authority to accept these Terms for them.

1. What Ruloo is

Ruloo is software that tournament organizers and game stores use to run Play! Pokemon-format events -- pairings, standings, penalty tracking, decklist collection, player registration, and optional paid registration via Stripe. Ruloo is a tool used by organizers; it is not itself the organizer, judge, or host of any tournament, and Ruloo is not affiliated with, endorsed by, or sponsored by The Pokemon Company International, Nintendo, Creatures Inc., GAME FREAK inc., or Play! Pokemon. Pokemon and all related names are trademarks of their respective owners.

2. Accounts and roles

Organizers, judges, and admins create an account to use Ruloo's organizer-side tools. You're responsible for keeping your login secure and for activity that happens under your account. Players do not need an account to register for an event or view pairings -- registration is guest-based (name, and a Play! Pokemon Player ID and/or email), consistent with how Play! Pokemon events normally work at the counter.

Organizer tools require organizer access. You can get it with a Ruloo membership on Patreon or by invitation from Ruloo. Patreon memberships are billed by Patreon under Patreon's own terms; each successful Patreon payment gives organizer access for one month from that payment, and access ends when that month runs out without a new payment. Judges and players don't need a membership.

3. Organizer responsibilities

If you organize or host an event through Ruloo, you're responsible for actually running it: following Play! Pokemon's own rules and policies, setting accurate entry fees and deadlines, handling player disputes, and honoring the refund decisions you make. Ruloo provides the tools (pairings, penalty logging, payment collection) but doesn't referee your event or guarantee any particular tournament outcome.

If you take online payments, you also agree to: publish a clear cancellation and refund policy for each paid event and handle refunds according to it; set accurate prices; keep your Stripe account, payout and tax information accurate; meet any consumer-protection and tax obligations that apply to your events (including sales tax, where it applies); review players' refund requests promptly; respond to payment disputes; and not promise players a full refund unless they will receive everything they paid. Amounts a player's bank takes back in a dispute, and Stripe's dispute fees, are charged by Stripe to your Stripe account, not to Ruloo. Ruloo may email you about refund requests, disputes, and your payment account at the email on your Ruloo account. If you send a player's records to Stripe to answer a dispute, use them only for that dispute.

4. Payments

Online payments use Stripe Connect. Each organizer connects their own Stripe account, and a player's payment is made on that account: the organizer, not Ruloo, is who the player pays and is the seller. Ruloo collects a service fee (currently 5% of the entry price) on each paid online registration, as a Stripe application fee. For each event the organizer chooses whether that fee is added to the player's checkout or taken from the organizer's proceeds; it's shown before payment either way. Stripe charges its own processing fee to the organizer's Stripe account; Ruloo does not pay or reimburse Stripe's fees. Organizers using Stripe also agree to Stripe's terms, including the Stripe Connected Account Agreement. Card details are entered on Stripe's own checkout page and are never seen or stored by Ruloo. Ruloo's service fee is not refunded when a payment is refunded or disputed. Ruloo keeps a record of each online payment (amounts, refunds, disputes and the event's name and date) after the event is deleted, for accounting, taxes and disputes, and events that take online payment are kept for 120 days after the event date instead of 14. Refunds and cancellations are governed by our Refund & Cancellation Policy, which is part of these Terms.

5. Acceptable use

You agree not to:

  • falsify match results, standings, decklists, or any other tournament record;
  • use Ruloo to harass, defraud, or retaliate against another player, judge, or organizer;
  • attempt to bypass payment, refund, or access controls, or interfere with the service's normal operation;
  • scrape, resell, or redistribute data from Ruloo outside of running your own event; or
  • use Ruloo for any event or purpose that violates Play! Pokemon's own rules or applicable law.

6. Content you submit

Decklists, penalty notes, feedback, public event page content, and similar material you enter into Ruloo remains yours, but you grant us a license to store, display, and process it as needed to operate the service (for example, showing a decklist to the organizer who requested it, or an event's public page to visitors). You're responsible for having the rights to anything you upload, and for its accuracy.

7. Card data and legality information

Where Ruloo shows card legality or set information (for example, on a submitted decklist), that information is pulled from third-party card databases for organizer convenience only. It is never an official Play! Pokemon ruling, and organizers/judges remain responsible for applying the actual current Pokemon TCG rules and banned/errata lists themselves.

8. Service availability

Ruloo is provided on an "as is" and "as available" basis. We don't guarantee uninterrupted access -- connectivity issues on your end or ours can pause pairings updates or new submissions -- and while data already saved isn't lost, we recommend organizers keep their own export/backup habits for anything mission-critical during a live event.

9. Disclaimers and limitation of liability

To the fullest extent permitted by law, Ruloo disclaims all warranties, express or implied, and is not liable for indirect, incidental, or consequential damages arising from your use of the service, including disputes between players, judges, organizers, or stores, or losses arising from a tournament's conduct or outcome. Our total liability for any claim relating to Ruloo is limited to the greater of $100 or the Ruloo service fees we actually received in connection with the event giving rise to the claim.

10. Termination

We may suspend or terminate access to Ruloo for accounts that violate these Terms, including fraud, payment abuse, or repeated policy violations. You can stop using Ruloo at any time; provisions that by their nature should survive (payment obligations already incurred, disclaimers, limitation of liability) continue to apply.

11. Changes to these Terms

We may update these Terms from time to time. Continued use of Ruloo after an update means you accept the revised Terms.

12. Governing law

These Terms are governed by the laws of the State of Georgia, without regard to conflict-of-law principles.
